QuickBooks Bank Feed Problems: Missing or Duplicate Transactions
By Derek J. Hartsfield, CFO · Published October 18, 2026 · Last reviewed October 19, 2026
A bank feed saves time by importing transactions automatically. When it misbehaves, it can leave gaps or create duplicates, and either one will throw off your reconciliation.
Why transactions go missing
- The connection to the bank expired and needs to be re-authorized.
- The bank only provides a limited window of history.
- Transactions were imported and then excluded by mistake.
- The feed is connected to the wrong account.
Why duplicates appear
- A connection was removed and re-added, and older transactions were imported again.
- Items entered by hand were not matched to the incoming feed item.
- A statement file was uploaded on top of a working feed.
Check the feed against the statement
Compare the bank statement with the register for the month in question. Missing items appear on the statement but not in the register. Duplicates appear twice in the register but once on the statement. The statement is always the reference.
Fixing the problem
- Reconnect the feed if it has expired, and confirm it points to the right account.
- Review items waiting for review, and match each to an existing entry where one exists, instead of adding it again.
- Remove true duplicates after confirming against the statement.
- Add any items the feed missed from the statement.
- Reconcile the month again to confirm the account agrees.
Why a bank feed is a convenience, not a control
A bank feed delivers transactions to QuickBooks for review. It does not decide whether a transaction belongs in your books, whether it has already been recorded, or which account it should be charged to. Treating the feed as the books is the root of most feed errors. The feed is an input; the reviewed, matched and categorized register is the record.
What goes wrong most often
- Accepting a transaction that was already entered. A payment recorded by hand, or created from a bill or invoice, arrives again from the bank and is added a second time instead of being matched.
- A feed that reconnects after a gap. When a connection breaks and is re-established, transactions can be pulled in again for dates that were already covered.
- Transactions that never arrive. Pending items, institution outages and expired credentials leave holes that look like nothing at all until a reconciliation fails.
- Transfers and card payments imported as income or expense. A credit card payment paid from the checking account appears on both feeds. Recording it on both sides overstates expenses.
A review routine that holds up
Review the feed on a fixed schedule, weekly for an active business. Match before you add, so that anything already recorded is linked rather than duplicated. Confirm the feed’s date range against the statement at month end. Then reconcile to the statement, because the reconciliation is the check that catches whatever the feed review missed.
Cleaning up after a feed problem
Correct the cause first, then the symptoms. Remove the duplicate rather than adding an offsetting entry, so the register reflects what actually happened at the bank. Where transactions are missing, locate them on the statement and record each one with its proper vendor or customer and account. A discrepancy resolved this way can be traced to the underlying transaction, which is the standard a lender or tax preparer will expect.
Questions we hear most often
Should I disconnect the feed? Not necessarily. The feed is valuable when reviewed. The issue is accepting it without checking, and a feed combined with a monthly reconciliation is a sound process.
A worked example
A business reconnected its bank feed in May after the connection expired. The feed pulled in the previous three weeks again, adding 41 transactions already in the register. Month-end reconciliation was off by $6,730. Reviewing the feed history showed the overlapping dates, the duplicates were removed and the reconciliation tied out. A date range check against the statement at each month end would have caught it in days.
Preventing a repeat
Choose one method of getting transactions into each account and use it consistently. Review feed items at least monthly, and reconcile every month while the statement is fresh.
If feed problems have built up over several months, we correct them account by account, month by month, until every account agrees to its statements.
